How Solar Companies Can Reduce Their Cost Per Appointment
Reduce solar cost per appointment by finding where accepted leads fail to become held appointments, then improving that specific step. A lower record price alone can increase total cost if contactability or attendance falls.
Choose a useful denominator
Distinguish booked appointments from held appointments. Track the total acquisition and outreach expense required to create each outcome, including media, data, setters, dialing and supervision. Use the same outcome window when comparing suppliers or months; recent leads may not have completed the sales cycle.
Fictional example: $3,600 divided by 24 held appointments is $150 each. If the same cost produces 30 held appointments, the result is $120 each. This illustrates the effect of attendance and throughput; it is not a Bear Fish performance claim.
Diagnose the funnel in order
- Poor delivery-to-attempt coverage: check routing failures, staffing and contact windows.
- Low unique-contact rate: inspect record age, number quality and permitted follow-up.
- Low contact-to-book rate: review territory fit, ad context and qualification.
- Low booked-to-held rate: inspect confirmation, calendar accuracy and customer expectations.
- Low held-to-sale rate: review installation fit, financing and closer handoff before buying more volume.
Change one meaningful variable at a time and label the affected cohort. Preserve original lead-age and source fields so a strong territory does not hide a weak one.
Spend where your team can execute
Compare fresh campaigns with aged files using fully loaded economics. Fresh inquiries may need faster staffing; aged files may need more outreach capacity. Neither product is automatically cheaper per customer.
Read the setter operations guide and the cost calculation guide. Expand only after outcomes, suppression controls and calendar capacity can support more leads.
